Organization of a scientific event

Scientific events are a distinctive activity of research for the university. To contribute to strengthening its scientific role as a center of intellectual radiance, Amar Telidji University of Laghouat organizes conferences, workshops, doctoral or study days, etc. The preparation of a scientific event requires considerable time.

Different Types of Events

  • Study Day and Doctoral Day: This is a scientific meeting on a specific subject that usually lasts for a day.
  • Workshop: This is a regular meeting to exchange knowledge and work in groups on a pre-selected topic in order to acquire or deepen technical skills.
  • International or national conference: It is a scientific meeting between a number of professors and representatives from socio-economic partners, aimed at comparing and disseminating research results, and it lasts more than a day.

The conference is considered international if:

  • The scientific committee consists of at least three (3) represented foreign countries with prior written commitment from the members.
  • At least three (3) speakers from three (3) foreign institutions actively participate in the activities of the event.
  • The percentage of participants and guests at international forums should be 30%, and dual nationality guests are not included in this percentage.

The conference is considered national if:

  • There are at least five speakers from at least five national educational or research institutions who will effectively participate in the conference, and foreign participants may also be included.

Organizing international scientific events requires approval from the ministry. Therefore, a complete dossier on the event (themes, objectives, expected results, program, scientific committee, organizing committee, list of Algerian and foreign participants, financial estimates, funding, opinion of the faculty's scientific council) must be submitted at least six months before the conference date for the ministry's services to study the dossier and provide their opinion.

It is necessary to adapt the themes of the events to the priorities of the government plan, especially regarding food security, health, and energy, to further strengthen the university's openness to the economic and social environment.

Regarding national scientific events, their study, programming, and approval are carried out at the university level, taking into account the national scientific and technological priority areas. A complete dossier must be submitted for the event (themes, objectives, expected results, program, scientific committee, organizing committee, participant list, financial estimates, funding, and opinion of the faculty's scientific council) three months before the conference's organization.

Funding for Scientific Events

Regarding funding requests for scientific events, whether national or international, once they have been approved for organization, we ask you to submit the funding requests to the thematic research agencies at least one year before the scheduled date of the scientific event, so that they can be included in the budgetary allocations allocated to the agency.

General Procedures

  1. Dossiers related to scientific events must be submitted twice a year to the scientific events department within the office of the directorate of external relations, the first session before May 15th and the second before November 15th. A scanned copy of the events dossier must be sent to: events@lagh-univ.dz.
  2. The vice-dean responsible for post-graduation, scientific research, and external relations in the faculty assists the event organizers in preparing the dossiers for scientific events, after obtaining the approval of the faculty's scientific council or laboratory, and submits them to the scientific events department of the vice-rectorate responsible for external relations, cooperation, animation, communication, and scientific events for study and presentation before the university's scientific council to gather their opinion.
  3. After completing all administrative procedures, the Vice-Rectorate for External Relations provides a website for the conference to facilitate the publication process through a specially designed system for managing and publishing scientific articles online (conf.lagh-univ.dz). It offers an integrated and comprehensive structure to manage the end-to-end publication process. Here is an overview of some key features of the publication system used:
  • Integrated management of the peer-review process, ranging from article submission to reviewer assignment, tracking of review reports, and the decision-making process for article publication.
  • Management of email notifications related to the publication process, such as confirmation of article receipt, reviewer assignments, and notification of publication decisions to authors.
  • An electronic publication system enabling online publication of scientific conferences, allowing readers to freely download and read the articles.
  • Possibility to index articles and conferences in search engines and scientific databases, thereby increasing the visibility of the university and the published content.
  • Ability to manage online payments related to participation fees and subscriptions.

The Vice-Rectorate for External Relations organizes two training sessions per year for conference organizers to work with the approved conference publication system.

After the closure of the scientific event, the summary file of the event must be submitted within one week, immediately after the end of the scientific activity, to the scientific events department of the Vice-Rectorate for External Relations.
